1.Who We Are and What This Policy Covers
Open City Solutions LLC ("Open City Solutions," "we," "us," or "our") operates PANL Technician, a mobile application that helps authorized service-business employees view assigned work, document jobs, manage shifts, and record permitted invoice activity. This policy describes personal information handled through the app and the supporting PANL services used by the app.
Your employer or the service business that gives you access (your "organization") controls its workspace, assignments, customer records, and employee work records. We process those business records on the organization's behalf. We also handle account, support, and security information needed to operate our services. Your organization's own employee and customer privacy notices may apply in addition to this policy.
Privacy questions and requests can be sent to info@gopanl.com.
2.Information We Handle
- Account and profile information. This can include your name, work email, phone number, employee or technician identifier, organization membership, role, profile photo, language, notification preferences, and account/session information. Some information is supplied by your organization's administrator.
- Work-order and customer information. Assigned jobs can include customer or resident names, contact information, service addresses, access instructions, appointment details, job status, custom fields, notes, photos, and activity history. We receive the information you or your organization enter or upload.
- Shift and location information. The app records clock-in/out times, breaks, and associated work records. With device permission, it obtains location coordinates and available accuracy information for clock actions, assigned-job maps, and foreground location updates while you are clocked in. Your organization can view location and time records available through its PANL workspace.
- Photos, receipts, and other selected files. We receive files you choose to upload or capture for work, including profile photos, job photos, and receipt images or PDFs. Receipt records can include merchant names, dates, receipt numbers, line items, taxes, totals, and their associated work orders. Uploaded files may contain personal information included by the person who supplied them.
- Invoice and payment records. Authorized users can view linked invoices and record supported payments, such as cash payments. Information can include invoice numbers, line items, customer details, amounts, balances, payment methods, timestamps, and payment status. The initial iOS release does not enable Tap to Pay. Card processing through other enabled PANL services is handled by Stripe rather than by collecting raw card numbers in PANL Technician.
- Device, connection, and support information. We may handle notification tokens, app/device details needed for service delivery, connection and security logs, support communications, and diagnostic information where diagnostic reporting is enabled.
The app does not upload your entire photo library or read your phone's contact list or text-message inbox. When you choose a phone, texting, email, or navigation action, another application may open and receive the details needed for that action.
3.Location, Device Permissions, and Local Storage
The current app requests foreground location access; it does not request continuous background-location permission. While clocked in and actively using the app, foreground location updates can be sent to PANL. Clock-in and clock-out actions can record location separately. Previously recorded locations remain part of the organization's work records until handled under the applicable retention/deletion process.
Camera and photo access support images you choose to capture or select. Notification permission supports work and shift alerts. Optional Face ID or fingerprint authentication is performed by your device's operating system; Open City Solutions does not receive your biometric templates.
You can manage permissions in your device settings. Turning off a permission may limit the related function. Revoking permission does not automatically delete information already recorded.
The app stores session information using device secure-storage facilities. Pending notes, selected upload files, and receipt reviews can be retained in the app's local storage so you can recover from interrupted work. Signing out is not a substitute for discarding pending local drafts or requesting deletion of server records. When transferring a device, sign out and remove app data that should not remain available on that device.
4.How We Use Information
We use information to authenticate users; apply organization and role-based access; show assigned jobs and maps; save work documentation, schedules, and shift records; deliver requested notifications; support permitted invoice/payment workflows; provide customer support; prevent misuse; investigate errors; and maintain the security and operation of PANL.
When you choose Allow AI scan, the receipt image or PDF is sent to OpenAI to identify information such as the merchant, date, items, and totals. PANL asks for your permission before each scan. You can instead enter details manually and save the receipt to PANL without sending it to OpenAI for extraction. Extracted results can be inaccurate and should be reviewed before saving. Avoid uploading information that is not necessary for the job, such as full payment-card numbers, government identification numbers, or unrelated medical information.
6.Retention and Deletion
We retain information for as long as reasonably necessary to provide the service, follow an organization's instructions, resolve disputes, meet applicable legal/accounting obligations, and maintain security. Work-order, customer, invoice, shift, and location records may need to remain with the organization even after an individual employee's access ends.
Local field drafts and staged files do not currently have a general automatic expiration. They may remain on the device until submitted and cleaned up, explicitly discarded, or removed with the app's data. Backup copies and records retained for legal, security, or accounting reasons may remain after an ordinary deletion request until the applicable retention need ends.
To request account or personal-information deletion, contact your organization's administrator or email info@gopanl.com. Include enough information to identify your PANL account and organization, but do not send your password or sensitive identity documents in your initial email. We may need to verify your request and coordinate with the organization responsible for the records. Where deletion is limited by applicable obligations or the rights of others, we will explain the relevant limitation.
7.Your Choices and Requests
You can update supported preferences in the app, manage device permissions and notification settings, sign out, and contact your organization about work records or access. Signing out or uninstalling the app does not itself delete server-side business records.
Depending on applicable law and our role in handling the information, you may have rights to request access, correction, deletion, a copy of information, restriction of certain processing, or to object or withdraw consent where consent is the applicable basis. Contact info@gopanl.com to make a request. For organization-controlled records, we may direct or assist your request through the organization. We will handle requests as required by applicable law.
8.Security and Processing Locations
We use technical and organizational measures designed to protect information, including authenticated access, role-based controls, and HTTPS connections. No storage or transmission method can be guaranteed completely secure. Protect your device and account credentials, and report suspected unauthorized access to your administrator and to us.
Information may be processed in countries where Open City Solutions or its service providers operate. Those countries may have different privacy laws from your country. Applicable transfer requirements and safeguards must be considered when the service is made available in a particular region.
9.Intended Users and Policy Changes
PANL Technician is intended for authorized business users and is not directed to children under 13. If you believe a child has provided personal information through the service, contact us so we can investigate and take appropriate action.
We may update this policy as the app, our practices, or applicable requirements change. The published policy will identify its effective or last-updated date. Where required, we will provide additional notice of material changes.
